Scope

This Policy defines eligibility, benefits, and responsibilities of core membership in the NIA-funded ADSP. Defining membership also establishes who is subject to all other ADSP policies (e.g. data use and sharing, publication, etc.). Other potential tiers of Membership (e.g. Partner, Affiliate, etc.) will be addressed in a separate policy.

Policy

An individual is eligible for ADSP Core Membership if they are funded by a current (or were funded by a past) ADSP grant, are a trainee working with funded individuals and actively involved in ADSP work, or are staff supporting funded individuals.

An individual will be confirmed for membership by the ADSP Coordinating Center (CC) following a request and attestation to the above eligibility requirements from the PI (contact or multiple, or their designee) of a current or past ADSP grant, or an ADSP NIH Program Officer. Individuals are required to sign the ADSP Code of Conduct to have their membership confirmed.

Benefits of membership include receiving ADSP-wide invites and communications via an ADSP member distribution list (adsp_all@uw.edu). Members also receive access to the internal portion of the ADSP website (adseq.org), which includes notes and other materials from Committee and Working Group meetings, an ADSP directory with affiliation and contact information for all members, and an ADSP calendar. Core members are eligible to participate in all ADSP Working Groups and Committees, hold leadership roles in ADSP, and to attend ADSP annual program meetings.

Responsibilities of PIs include keeping the ADSP CC updated on changes to membership for their group in a timely manner. The ADSP CC will implement an annual membership review process, in which PIs will notify the CC of any changes to their list of members. Members can be added, removed, or modified at any time during the year, but this annual review will serve as a reminder in case any changes were missed throughout the year.

Responsibilities of membership include maintaining an updated user account and secure login to the internal ADSP website (adseq.org) and signing the ADSP Code of Conduct that includes adherence to all ADSP policies and procedures and maintaining confidentiality of unpublished scientific results (i.e. information posted to internal ADSP website and/or discussed at internal ADSP meetings).

Updates to this Policy

To accomplish its primary goal, the ADSP requires many different sources of participant data and biospecimens, data analyses, data interpretation, and infrastructure for genomic data generation and data management. This requires a wide variety of expertise and collaborations, which may evolve over time. Similarly, the identification of grants and funding opportunities that are in scope of ADSP may evolve. This Core Membership Policy (and the list of associated ADSP grants) will be revisited and updated as needed over time to ensure consistency, transparency, and responsiveness to the scientific needs of the ADSP.
